Route newly published feedback to Jira using board rules, with clear behavior for drafts and existing posts.
Use board rules to turn newly published feedback into Jira issues automatically. Each board can route work to its own Jira project and issue type.
Before you start, connect Jira and choose your default project and issue type.
Add a board rule
- Open Settings → Integrations and click Manage connections on the Jira card.
- Under Board rules, click Add board rule.
- Select the Feedback board.
- Choose its Jira project and Jira issue type.
- Enable Automatically create Jira issues.
- Choose a Status sync direction and mappings, or select Off if you only want issue creation.
- Click Save settings.
A Todos board rule routing feedback to Task issues in KAN with automatic creation enabled
The example routes the private Todos board to the Userorbit Integration Test (KAN) project. Choose the board and project appropriate for your team.
Use a fallback for other boards
Choose All other boards to create a fallback rule for boards without their own rule. A specific board rule takes priority over the fallback, including its automatic-creation setting.
For example, a Todos-only rule does not apply to a post saved on Bugs. Check the Board field on the feedback itself; the board page you were viewing before creating the post is not a substitute for checking its saved board.
Which feedback is created in Jira?
Automatic creation applies to eligible feedback first published after the rule is enabled and saved.
| Feedback | Automatic behavior |
|---|---|
| Newly published on a matching board | Creates an issue using the rule’s project and type. |
| Unpublished draft | Waits until the draft is published. |
| Feedback published before automation was enabled | Is not backfilled. Create or link an issue manually. |
| Archived or replay-observed feedback | Is excluded from automatic creation. |
| Imported feedback already linked to Jira | Keeps its existing link when published. |
An unpublished feedback draft with no automatically created Jira issue
Turning on a rule does not export all the feedback already on a board. Use the manual workflow for existing posts.
Check the created issue
- Create feedback and confirm its Board is covered by your rule.
- Publish the feedback.
- Open Jira on the feedback to inspect the linked issue. The button shows a linked-issue count once an issue is associated with the post.
- Click the issue key to open Jira.
Newly published feedback automatically linked to Jira issue KAN-6
The Jira issue includes the feedback title, description, and a link back to Userorbit.
The automatically created Jira task with the feedback title, description, and Userorbit link
A plain Jira button without a count gives you access to manual create and link actions. If automatic creation is pending or failed, its state appears inside that dialog.
Keep statuses aligned
Issue creation and status sync are separate settings. Select Both directions, Jira → Userorbit, or Userorbit → Jira, then map the statuses you want to synchronize. See Sync feedback and Jira statuses.
Stop automatic creation
Clear Automatically create Jira issues on the relevant rule and click Save settings. Existing links remain available. Set Status sync to Off separately if you also want to stop that rule’s status synchronization.
If a new issue does not appear, follow Troubleshoot Jira creation and sync.
